Integration & Setup
ION Identify™ connects with PMSs through an established, standardized process. ION continuously sends data to your PMS via secure FTP in the specific format your system requires.
ION has extensive experience integrating with RealPage, Yardi, Conservice, Yes Energy Management, and numerous regional and smaller billing systems. When a new provider is introduced, ION sends a data conduit document explaining file formats and sample files.
Usually the file naming convention, any required property identifiers, and FTP credentials.
- Property notifies the PMS they are switching metering systems.
- PMS contacts ION to request activation.
- ION assigns the property within their internal system.
- ION begins pushing daily files automatically.
- If the PMS needs historical data (e.g., 3–6 months back), ION provides it.
- PMS ingests and applies its billing workflows as normal.
If preferred, ION can serve as the primary point of contact and coordinate the full process.
Data Delivery
ION Identify™ technology collects total cumulative usage data in real time, generating one file per property per day containing the data for each unit. Files are delivered via secure FTP once per day, at or after midnight local time. The process is automatic and typically requires no manual steps from the property.
Yes. ION has an established process with RealPage and Yardi to deliver work orders to maintenance teams, specifying the leak unit and fixture location for maintenance team efficiency.
Formats can differ slightly, but ION adjusts to support them. When a new provider appears, ION sends a data conduit document explaining file formats and sample files.
Billing & Exceptions
No. Your PMS will continue to handle billing, pre-bill reviews, audits, benchmarking, and compliance reporting exactly as they do today. The only change is the source of the water use data, not the workflows or system behavior.
Yes. Pre-bill review continues to function as it always has. Most PMSs use ION daily reads like any standard submeter reading.
Yes. ION performs multiple checks before data is exported, identifying and adjusting for occurrences such as backwards reads, highly unusual water usage, non-reporting meters, and negative readings.
They typically use their own internal estimation and exception logic, the same way they do with other technology hardware.
Extremely rarely. If this happens, ION’s Partner Success team works with the billing company to resolve any issues.
Compliance & Reporting
No. PMSs continue to operate as the source of record for compliance data. ION serves as the data provider in PMS-approved formats.
No. Benchmarking and compliance modules rely on the same daily read files used for billing. Since the format, frequency, and structure remain identical, these workflows continue without disruption.
Replacing Existing Submeters
Yes. The process is as follows:
- Existing meters report through the cutover date.
- New ION Identify™ technology begins reporting from the installation completion date.
- PMS handles mid-month transitions using normal billing rules.
There is no requirement or expectation to merge historical data.
No. A “clean break” transition is commonly used:
- Old system — last read on cutoff date.
- New system — first read on next day.
- PMS estimates any gaps.
No. This is not supported by most billing platforms.
Support
Yes. ION has done this many times and is willing to speak with property teams, IT staff, or PMS account managers to confirm technical details.
ION supports meter data and integration questions. PMS-specific workflow or UI training sits with the PMS support team.
