PMS & Billing Integration | ION Water

Your billing workflow
stays the same. The data
behind it gets better.

ION Identify™ integrates directly with your property management software, sending daily water use data in the format your system already expects — so your team keeps working exactly as they do today.

A simpler path to better water data.

ION integrates with RealPage, Yardi, Conservice, Yes Energy Management, and regional billing systems nationwide — with no disruption to your billing process, compliance reporting, or pre-bill reviews.

ION integrates with RealPage, Yardi, Conservice, Yes Energy Management, and regional billing systems nationwide — with no disruption to your billing process, compliance reporting, or pre-bill reviews.
No changes to your billing workflow
Your PMS continues to handle billing, pre-bill reviews, audits, benchmarking, and compliance reporting exactly as it does today. The only change is the source of the water use data.
Automated daily data delivery
ION Identify™ generates one file per property per day and delivers it to your PMS via secure FTP at or after midnight local time — fully automatic, no manual steps required.
Built-in data quality checks
Before any file is exported, ION filters for backwards reads, non-reporting meters, negative readings, and highly unusual usage — so your PMS only receives clean, reliable data.
Integrated work orders for maintenance teams
ION has an established process with RealPage and Yardi to deliver automated work orders directly to maintenance teams, specifying the leak unit and fixture location for faster resolution.
Compliance and benchmarking continue uninterrupted
Your PMS remains the source of record for compliance data. Because ION delivers files in the same format, frequency, and structure, benchmarking and compliance modules continue without disruption.
A clean, proven cutover process
Existing meters report through the cutover date. ION Identify™ begins reporting the next day. Your PMS handles any mid-month gaps using its normal billing rules — no historical data merge required.
Dedicated partner support
ION's Partner Success team is available to join calls with your PMS, property teams, and IT staff to confirm technical details and walk through the workflow together.
Flexible file format support
Formats differ between billing providers — ION adjusts to support each one and provides a data conduit document with format specs and sample files whenever a new provider is introduced.

Integration & Setup

How does ION Identify™ integrate with property management software?

ION Identify™ connects with PMSs through an established, standardized process. ION continuously sends data to your PMS via secure FTP in the specific format your system requires.

Which property management and billing systems does ION integrate with?

ION has extensive experience integrating with RealPage, Yardi, Conservice, Yes Energy Management, and numerous regional and smaller billing systems. When a new provider is introduced, ION sends a data conduit document explaining file formats and sample files.

What does ION need from the billing provider before sending data?

Usually the file naming convention, any required property identifiers, and FTP credentials.

What are the steps to activate billing with our PMS after installing ION meters?
  1. Property notifies the PMS they are switching metering systems.
  2. PMS contacts ION to request activation.
  3. ION assigns the property within their internal system.
  4. ION begins pushing daily files automatically.
  5. If the PMS needs historical data (e.g., 3–6 months back), ION provides it.
  6. PMS ingests and applies its billing workflows as normal.

If preferred, ION can serve as the primary point of contact and coordinate the full process.

Data Delivery

How does ION water use data get delivered to our PMS?

ION Identify™ technology collects total cumulative usage data in real time, generating one file per property per day containing the data for each unit. Files are delivered via secure FTP once per day, at or after midnight local time. The process is automatic and typically requires no manual steps from the property.

Can ION send work orders to our maintenance team for leaks?

Yes. ION has an established process with RealPage and Yardi to deliver work orders to maintenance teams, specifying the leak unit and fixture location for maintenance team efficiency.

Does the file format vary by billing company?

Formats can differ slightly, but ION adjusts to support them. When a new provider appears, ION sends a data conduit document explaining file formats and sample files.

Billing & Exceptions

Will switching to ION change our billing workflow inside the PMS?

No. Your PMS will continue to handle billing, pre-bill reviews, audits, benchmarking, and compliance reporting exactly as they do today. The only change is the source of the water use data, not the workflows or system behavior.

Can we still perform pre-bill reviews in our PMS?

Yes. Pre-bill review continues to function as it always has. Most PMSs use ION daily reads like any standard submeter reading.

Does ION filter faulty data before sending it to the PMS?

Yes. ION performs multiple checks before data is exported, identifying and adjusting for occurrences such as backwards reads, highly unusual water usage, non-reporting meters, and negative readings.

How does the PMS handle missing reads or down devices?

They typically use their own internal estimation and exception logic, the same way they do with other technology hardware.

How often do billing companies raise issues about ION data?

Extremely rarely. If this happens, ION’s Partner Success team works with the billing company to resolve any issues.

Compliance & Reporting

Will switching to ION affect compliance reporting?

No. PMSs continue to operate as the source of record for compliance data. ION serves as the data provider in PMS-approved formats.

Does ION data affect PMS utility benchmarking modules?

No. Benchmarking and compliance modules rely on the same daily read files used for billing. Since the format, frequency, and structure remain identical, these workflows continue without disruption.

Replacing Existing Submeters

Can we remove existing submeters and replace them with ION Identify™ technology?

Yes. The process is as follows:

  1. Existing meters report through the cutover date.
  2. New ION Identify™ technology begins reporting from the installation completion date.
  3. PMS handles mid-month transitions using normal billing rules.

There is no requirement or expectation to merge historical data.

Does removing old meters break billing?

No. A “clean break” transition is commonly used:

  1. Old system — last read on cutoff date.
  2. New system — first read on next day.
  3. PMS estimates any gaps.
Can ION merge reading history between old submeters and new ones?

No. This is not supported by most billing platforms.

Support

Can ION join a call with our PMS and property team to review the workflow?

Yes. ION has done this many times and is willing to speak with property teams, IT staff, or PMS account managers to confirm technical details.

Can ION help with PMS training or workflow questions?

ION supports meter data and integration questions. PMS-specific workflow or UI training sits with the PMS support team.
